Vizion AI Consulting (“we,” “us,” or “our”) operates vizionaiconsulting.com (the “Site”). This Privacy Policy explains what information we collect, how we use it, and the choices you have. We keep things straightforward — we are a boutique consulting firm, not an ad network.

Information you provide directly
When you submit our consultation or discovery form, we collect:
- Full name
- Email address
- Company name (optional)
- Services of interest and questionnaire answers
- A free-text description of your needs
When you sign up for our newsletter, we collect your email address.
AI chat assistant
The Site includes an AI chat assistant. Messages you send to the assistant are transmitted to Google’s Vertex AI platform to generate responses. We do not store individual chat transcripts on our own servers beyond the duration of the session, but Google may process and retain data as described in their privacy documentation. Do not send sensitive personal information through the chat.
Automatically collected data
Like most websites, we automatically collect certain technical information when you visit, including IP address, browser type, device type, pages viewed, referral source, and session duration. This data is collected through cookies and analytics tools described in Section 4.
2. How We Use Your Information
- To respond to your inquiry. Form submissions are used to follow up, schedule calls, and provide estimates.
- CRM and sales tracking. Contact data is synced to HubSpot, our CRM, to manage the relationship and track engagement.
- Newsletter communications. If you opt in, we use your email to send updates, insights, and relevant content. You can unsubscribe at any time via the link in every email.
- Site improvement. Analytics data helps us understand how visitors use the Site so we can improve content and user experience.
- AI chat operation. Chat messages are sent to Google Vertex AI solely to generate responses. We do not use chat content for marketing.
We do not sell your personal information to third parties. We do not use your data for advertising targeting.
3. Cookies
The Site uses cookies — small text files stored in your browser. Specifically:
- Analytics cookies (Google Analytics / GA4): Used to measure traffic and behavior on the Site. These cookies collect data in aggregate and pseudonymous form.
- Functional cookies: Used to remember user preferences such as dark mode.
You can control or disable cookies through your browser settings. Disabling cookies will not prevent you from using the Site, but some preferences may not be saved between visits.
4. Third-Party Services
We use the following third-party services. Each has its own privacy policy that governs how they handle data:
Google Analytics (GA4)

Google Vertex AI (Gemini)
Powers the AI chat assistant. Chat messages are processed by Google’s Vertex AI infrastructure. Inputs may be retained by Google per their cloud terms. Google Cloud Privacy Notice.
5. Data Retention
We retain form submission data (contact and consultation requests) in HubSpot for as long as there is a legitimate business purpose, typically for the duration of a client relationship plus three years. Newsletter subscriber data is retained until you unsubscribe. Analytics data in Google Analytics follows Google’s default retention settings (26 months). You may request deletion at any time by contacting us.
6. Your Rights & Choices
Depending on where you are located, you may have the following rights regarding your personal data:
- Access: Request a copy of the personal data we hold about you.
- Correction: Ask us to correct inaccurate data.
- Deletion: Ask us to delete your data, subject to any legal obligations to retain it.
- Opt-out of marketing: Unsubscribe from the newsletter using the link in any email, or email us directly.
- California residents (CCPA): You have the right to know what personal information we collect, the right to delete it, and the right to opt out of its sale. We do not sell personal information.

7. Data Security
We take reasonable technical and organizational measures to protect your data, including encrypted transmission (HTTPS) and access controls on systems that store contact data. No method of transmission over the internet is 100% secure. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.
8. Children’s Privacy
The Site is not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such data, please contact us and we will delete it promptly.
9. Changes to This Policy
We may update this Privacy Policy periodically. When we do, we will revise the effective date at the top of the page. If changes are material, we will make a reasonable effort to notify you. Continued use of the Site after any update constitutes acceptance of the revised policy.
